The Administrative Assistant will perform a variety of clerical, procedural, and administrative tasks to support the Reporter's Office.

</item3><item44>The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned. </item44><item5>Organizes and expedites the flow of work through the office; independently follows up on pending matters; may develop and revise clerical and filing procedures. Acts as receptionist for the office including screening visitors and telephone calls, distributing office mail, answering questions, and furnishing information. Prepares correspondence, reports, and other documents, frequently of a confidential nature; proofreads documents; drafts correspondence based on general instructions for review and approval. Maintains the log of all opinions received in the office for editing and updates the log with information regarding the status of each opinion. Processes case announcements, opinions, and rule amendments to be sent via electronic transmission to publisher. 

</item5><item12>Prepares case announcements of the Court's orders; maintains accurate and efficient indexing system of the opinions edited and published by the Reporter's Office; manages and operates the record system of published opinions. Posts opinions to the Court's website. Serves as backup for the following: preparing Supreme Court opinions for print publication and posting to the court's website; posting Supreme Court announcements to the website; and preparing the weekly list of appeals court opinions posted. Creates and maintains office files and disposes of records that no longer need to be retained. Assists with organization and distribution of opinion galleys for review by assistant reporters and authors. 

</item12><item14>Types editing corrections on opinions in accordance with editors' proofreading marks. Coordinates and executes the publication of and payment for notices of attorney discipline in newspapers and bar publications; manages a record system; maintains correspondence with newspapers and local bar associations. Collects timesheets and processes timekeeping records. Orders office supplies and arranges for maintenance of office equipment. Assists Reporter of Decisions and other Reporter's Office staff. 

</item14><item6>Requires at least a high school diploma and six years of progressive secretarial and administrative experience, or equivalent combination of formal education and experience. Requires demonstrated ability to perform a variety of administrative assignments with minimal direction using a high degree of independent judgment. Requires proficiency with Microsoft Office products (word processing, e-mail, spreadsheets). Ability to navigate the Internet is helpful. Requires the ability to effectively interact and communicate with supervisor, co-workers, justices, judges, other public officials and employees, attorneys, Court personnel, and the public. Experience in a legal publishing environment preferred.
